Privacy Policy

1. Basic Policy

Hashito System Inc. (the "Company") handles personal data and other user information ("User Information") collected on the website hashitosystem.com (the "Site") and all of the services it provides, including content and services delivered through video platforms, social media, apps and other external platforms (the "Service"), in accordance with the Act on the Protection of Personal Information of Japan, other applicable laws, and this Privacy Policy (the "Policy").

By viewing or using the Site, Users are deemed to have agreed to this Policy. This Policy applies together with the Terms of Service.

2. Information We Collect

The Company may collect the following User Information:

• Enquiry information: name, company name, email address, the content of the enquiry and related information when you contact us by email or other means
• Transaction information: name, contact details, billing details, contract details and similar information provided when entering into development or outsourcing contracts
• Access information: IP address, browser type and language, operating system, referrer URL, pages viewed, date and time of access, screen size, identifiers such as cookies and advertising IDs, and client IDs assigned by analytics tools
• Usage information: statistics such as how often the Free Tools are used, which features are used, and errors that occur
• Input Data and Output: the Free Tools process data in the browser wherever possible, but the Company may collect and store part of the data Users enter and the results produced, for improvement and research and development
• Information via external platforms: viewer statistics, comments, account names, messages and similar information that video platforms, social media and other platforms provide to the Company
• Information collected on our other sites: User Information collected on other websites and services operated by the Company

3. Purposes of Use

The Company uses User Information for the following purposes:

• responding to enquiries, performing contracts and contacting Users;
• providing, maintaining and improving the Service, and planning and developing new features and services;
• research and development, including statistical analysis and the training, evaluation and validation of machine-learning and AI models;
• analysing usage and producing statistical, anonymised or pseudonymised data;
• sending information about, advertising and marketing the services and campaigns of the Company, its other sites and its partners;
• preventing misuse, maintaining security and responding to breaches of the Terms of Service;
• complying with legal obligations; and
• purposes incidental to any of the above.

4. Cookies and Analytics

The Site uses Google Analytics (GA4), an analytics service provided by Google LLC. Google Analytics uses cookies and similar technologies to collect access information, which does not include names, addresses or similar details. The information collected is managed under the Google Privacy Policy. To disable collection, use the Google Analytics Opt-out Browser Add-on.

The Site may also use third-party services such as advertising, affiliate programmes, external CDNs, embedded content and social-media integrations, and those providers may collect User Information through cookies and similar technologies. Their handling of that information is governed by their own privacy policies.

You can refuse or delete cookies in your browser settings, but some features of the Site may then be unavailable.

5. Information Obtained through YouTube API Services

Parts of the Service use YouTube API Services. Through them, and to the extent the User has authorised, the Company may obtain YouTube account information (such as channel name and channel ID), data on videos, playlists and comments, and viewing and playback statistics. The Google Privacy Policy applies to this information in addition to this Policy.

The Company uses this information within the purposes set out in Section 3 (including providing the relevant features, improving the Service, and research, development and statistics), and manages retention, refreshes or deletes it to the extent required by the YouTube API Services Terms of Service. Sharing with third parties follows Section 6.

Users can revoke the Company's application's access at any time via the Google security settings page. After revocation the Company obtains no further information from that account.

6. Sharing with Third Parties

The Company may provide or share User Information with third parties in the following cases. Users are deemed to consent to this by using the Site.

• sharing with universities, research institutions, AI and data-analysis providers, business partners and other third parties for research and development, statistical analysis or service improvement;
• sharing with, and using across, other websites and services operated by the Company;
• providing to subcontractors (hosting, analytics, email delivery, payment and similar providers) to the extent necessary to perform the outsourced work;
• transferring in connection with a business transfer, merger, corporate split or other succession of business;
• where required by law, where necessary to protect a person's life, body or property, where especially necessary for public health or the sound development of children, or where cooperation with a national or local government body is required; and
• where the User has given separate consent.

Notwithstanding the above, the Company may freely provide to third parties or publish statistical, anonymised or pseudonymised information that has been processed so that individuals cannot be identified.

7. International Transfers

The Site uses hosting, analytics and other services provided by operators outside Japan, such as Google LLC (United States), and User Information may be stored and processed on those operators' servers, including outside Japan. Users consent to such international transfers.

8. Security

The Company takes reasonable security measures to prevent the leakage, loss or damage of User Information. However, the Company does not guarantee that transmission or storage over the internet is completely secure, and accepts no liability for leaks or similar incidents not caused by its wilful misconduct or gross negligence.

9. Retention

The Company retains User Information for as long as necessary to achieve the purposes of use, or for the period required by law. Information processed for research and development or statistical purposes may be retained and used indefinitely.

10. Requests for Disclosure, Correction and Suspension of Use

In accordance with applicable law, Users may request disclosure, correction, addition, deletion or suspension of use of their personal data held by the Company. Please send requests to the contact point in Section 13. After verifying your identity, we will respond within a reasonable period.

This does not apply where the law permits us to decline the request, where responding would seriously hinder the proper conduct of our business, or where responding would require excessive cost. A prescribed fee may be charged for disclosure.

11. Minors

Minors should use the Service only with the consent of a parent or legal guardian. The Company handles User Information obtained from minors in accordance with this Policy.

12. Changes to this Policy

The Company may change this Policy in response to changes in the law or the Service, without prior notice to or consent from Users. The revised Policy takes effect when posted on this page.
